Privacy Policy
Last updated: 22 October 2026
Protonics Tech Labs (“Protonics”, “we”, “us”) helps businesses grow through technology. This policy explains what personal data we collect through our website and services, why we collect it, who we share it with, how long we keep it, and the choices and rights you have.
We wrote it in plain language. If anything is unclear, contact us using the details in section 12.
1. Who we are
The website protonics-web.protonicstechlabs.workers.dev (and protonics.co.in once it is live) is run by Sai Venkatesh Kumar Ganeshram, sole proprietor, trading as Protonics Tech Labs, Chennai, Tamil Nadu, India. We work online and do not have a public office; our full postal address is available on request by email.
For personal data you give us about yourself, we are the “Data Fiduciary” under India’s Digital Personal Data Protection Act, 2023. This means we decide why and how that data is used.
2. The personal data we collect
We only collect what we need for the purposes in section 3.
When you send an enquiry (no account needed):
- your name, business name, email address and phone number
- the services or products you are interested in
- your description of the problem or requirement
- your preferred meeting type and time
- how you heard about us (optional)
- whether you marked the enquiry as urgent
When you create an account (needed only for product waitlists and downloads):
- your email address and a password. We never see or store your password in readable form.
- if you sign in with Google: your name, email address and Google account identifier, as shared by Google
- one-time login codes or links we email to you
When you join a waitlist or download a product: the products you joined or downloaded, and when.
When you leave a review: your name, email address, star rating and written feedback. Your name, rating and feedback may be shown publicly once approved. Your email address is never shown.
When you become a client: project details, agreed price and terms, invoices, payment records (amount, date, method and payment reference), refund records, and messages about the project, including WhatsApp messages and emails. We do not store your full card or bank login details. Those are handled by the payment provider or bank.
Automatically, when you use the website:
- Visit statistics. We count visits and actions such as pages viewed, enquiries sent, waitlist sign-ups and downloads. We use our own counting, with no advertising or tracking cookies, and we do not store your IP address for this purpose.
- Security data. To stop spam, abuse and break-in attempts, we keep records of sign-in attempts. We also keep a one-way scrambled (“hashed”) version of IP addresses, not the readable address. Cloudflare Turnstile checks that forms are sent by a person, not a bot, using signals from your browser and device.
- Essential cookies and local storage. These keep you signed in and remember your light or dark theme choice. The site needs them to work. We do not use them for advertising.
From other people: a client may give us personal data of their own customers or staff so that we can build or run a service for them, for example an AI agent or an automation. In that case we process the data on the client’s instructions under our agreement with them. Section 9 explains more.
3. Why we use your data
| Purpose | Data used | Our legal basis |
|---|---|---|
| Reply to your enquiry, arrange a call or meeting, and send a confirmation email | Enquiry details | Your consent, given when you submit the form |
| Create and secure your account, send login codes | Account details | Your consent, and our need to keep accounts secure |
| Manage waitlists, tell you when a product is released, give access to downloads | Account, waitlist and download records | Your consent, given when you join |
| Publish and moderate reviews, and ask clients for a review about a month after delivery | Review details, client email | Your consent |
| Deliver projects and services, send proposals and updates (including on WhatsApp), invoice, collect payments, issue refunds and manage recurring billing | Client and project records | Your consent, and steps needed to perform our agreement with you |
| Keep accounts, tax and legal records | Payment and invoice records | Legal obligations under Indian law |
| Protect the website and users from fraud, spam and attacks | Security data | Our legitimate need to keep the service safe, as permitted by law |
| Understand which pages and services are useful and improve the website | Visit statistics (no IP address stored) | Our legitimate need to improve the service, using data that does not directly identify you |
We will not use your personal data for a new purpose without telling you and, where the law requires it, asking for your consent again.
We do not sell your personal data. We do not use it for third-party advertising.
4. Who we share it with
We share personal data only with service providers that help us run the website and our services. We allow them to use it only to provide those services to us.
| Provider | What they do for us |
|---|---|
| Cloudflare, Inc. | Website hosting, security and bot protection (Turnstile) |
| Supabase, Inc. | Database and account sign-in |
| Resend | Sending our emails |
| Google LLC | “Sign in with Google”, if you choose to use it |
| WhatsApp (Meta Platforms) | Chat with us and project communication, if you message us on WhatsApp |
| Google (Gmail) | Our business email inbox |
We may also disclose personal data if the law, a court or a government authority requires it, or to protect our rights, our users or the public.
5. Transfers outside India
Some of these providers store or process data on servers outside India, including the United States and other countries where these providers operate. We transfer data abroad only as permitted by Indian law, and not to any country the Government of India restricts.
6. How long we keep it
We keep personal data only as long as we need it for the purpose it was collected for, or as long as the law requires. Then we erase it.
| Data | How long we keep it |
|---|---|
| Enquiries that do not become projects | 12 months after the last contact |
| Accounts with no activity | 3 years after the last sign-in |
| Waitlist records | Until the product is released and you have been told, or until you leave the waitlist |
| Reviews | While the review is published, or until you ask us to remove it |
| Client, project, invoice and payment records | 8 years, or longer if tax and accounting law requires it |
| Security records (sign-in attempts, hashed IP addresses) | At least 180 days, as Indian law requires, then deleted |
Where the law requires it, we will tell you at least 48 hours before we erase your data, so that you can sign in or contact us if you want to keep using our services.
7. How we protect it
We use reasonable security measures, including:
- encrypted connections (HTTPS) throughout the site
- database access rules, so each person sees only what they are allowed to see
- staff access limited by role, with every staff action recorded
- login codes and protection against repeated failed sign-ins
- secret keys kept encrypted, never in our code
No system is completely secure. If a breach affects your personal data, we will tell you without delay and report it to the Data Protection Board of India and other authorities as the law requires.
8. Your rights
You can:
- access a summary of the personal data we hold about you and how we use it, and learn who we have shared it with
- correct, complete or update your data
- erase your data, unless we must keep it by law
- withdraw your consent at any time, as easily as you gave it. Withdrawal does not affect anything we did before you withdrew. If you withdraw consent, we may not be able to continue a service that depends on it.
- nominate another person to exercise your rights if you die or become unable to
- raise a grievance with us, and then with the Data Protection Board of India if you are not satisfied with our response
To use any of these rights, email protonics.support@gmail.com or use the contact details in section 12. We may ask you to confirm your identity. We will respond within 30 days, and in any case within the time the law requires.
You can also delete your account yourself: sign in and open Privacy and account. If you sent an enquiry or review without an account, use our privacy request page. You can also simply email us.
9. Data we handle for our clients
When we build or run AI agents, automations, websites or apps for a client, we may handle personal data belonging to that client’s customers or staff. In that case the client decides how the data is used, and we act on their behalf under our agreement with them. If you are one of their customers, please contact the client first. We will help them answer your request.
10. Children
Our website and services are meant for businesses and adults. We do not knowingly collect personal data from anyone under 18. If you believe a child has given us personal data, please contact us and we will delete it.
11. Changes to this policy
We may update this policy when our services or the law change. We will change the “Last updated” date at the top. If a change is significant, we will tell you by email or on the website before it takes effect.
